Job Description

As a Technology Operations Manager you will work with the CTO and his leadership team managing the day-to-day operations of a multinational technical engineering team developing world class products. The successful candidate will demonstrate a proven track record for taking initiative and working independently to deliver results that exceed expectations. This fast-paced team requires someone who looks around corners to plan ahead on behalf of the organization and who serves as a firm and steady anchor to ensure that the team remains focused on the important.


The most successful candidate will be a strong communicator, both verbally and written, possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture.

You will report to the Head of PMO - CTO Organization and partner with Sales, HR, Finance, Product, Engineering, Support teams. It would involve taking ownership of critical tasks amp; functions, driving key metrics and ensuring completion of tasks.

You should have experience in handling small to medium transformation and operational initiatives for a team/function. You will need to influence global team members, thus you'll need to be highly collaborative and able to influence without authority, while also being able to work with significant autonomy.

You bring a strong understanding of business/team operations management, balance the urgent needs of all stakeholders and make decisions. You have strong communication skills, build trust easily, collaborate with peers, have a strong attention to detail, are experienced with data analysis, and are comfortable working in ambiguity. To be successful in this role you will be able to display a highly analytical thought process, have a high level of customer/employee focus, and a passion for process improvement!

Responsibilities includeAdministrative Management
  • Manage calendar events, meeting organization, meeting rooms, catering arrangements, travel coordination, and expense reconciliation for the CTO and his leadership team on team related meetings and events.
  • Organize and manage key events like onsite/offsite team social/official events with facilities/HR for Technology team, LT meetings, All-hands meetings, operational planning/review meetings, internal/external Tech events like hackathons, talks, branding, conference or hiring events including post event feedback and improvement actions.
  • Creating and maintaining the team Distribution list
  • Maintain the Technology Organization chart with regular updates
  • Management of team space, including moves and reconfigurations
  • Setup the process with the right support team for travel requirements
  • Provide general administrative support
Operations Management
  • Schedule and manage the Leadership meetings and cross functional meetings based on actions identified (planned and adhoc)
  • Maintaining the minutes of key Leadership and Technology event meetings and tracking actions to closure
  • Coordinate any information decks to be created for planned and unplanned meetings like Board Meetings, Management reviews, Vendor/Partner meeting, Merger/Acquisition related integration meetings at leadership team level.
  • Designing and Maintaining the Technology team Information and Knowledge site.
  • Drafting and Issuing any Technology org wide communication
  • Create and maintain Technology headcount information, Hiring numbers, Operational costs.
  • Ensuring smooth onboarding experience for new employees
  • Technology team liaison with Finance/HR/IT teams for all operational issues.
  • Coordinates all policy definitions/changes reviews between HR/Finance and Technology leadership team or first line managers.
  • Setup the mechanism for coordination of the annual budgeting process and Hire-gt;Retire operational process as defined by the HR/Finance teams.
  • Ensure closure of Yearly performance review cycles by all managers
  • Maintain any team level KPI and information dashboards

Program Management
  • Drive key OKRs or transformation initiatives in OKRs aimed towards operational ease and improvements. These could be time bound projects and continuing programs. Prepare charter, plan and conduct monitoring and control meetings for the same. Provide regular status updates to the stakeholders.
  • Manage the monthly Technology team Operational review meeting and cross functional business related operational review meetings driven by PMO
  • Set expectations to participants on the agenda and the data required and ensure the availability of these prior to these review meetings.
  • In some cases, design and provide templates for information expected in review meetin
